Validating an electronic quality management system

An eQMS sits at the center of a company's quality processes, deviations, CAPAs, change control, document management, which makes it one of the higher stakes systems to get wrong. Most eQMS validation risk sits in configuration, not in the underlying platform the vendor already tested.

Why configuration carries the real risk

A mature eQMS platform typically arrives with the vendor's own baseline testing already done. What your organization configures on top, workflow routing rules, approval hierarchies, automated escalations, is specific to you and untested by anyone until your team tests it. A misconfigured escalation rule that silently fails to route a critical deviation is exactly the kind of gap a generic vendor validation package would never catch.

What to prioritize testing

Focus testing effort on the workflows your organization actually built, not on re-proving functionality the vendor already validated. Test the paths that matter most, a CAPA that should escalate after a missed deadline, a document that should route to the right approver, rather than exhaustively clicking through every screen.
